Many of our SheEO Marketing members asked about managing their growing photo collections. Here's your guide to keeping your visual content organized, accessible, and ready for posting!



Create a Logical Folder Structure 

Stop the endless scrolling through your camera roll! Organize your photos into main categories (Products, Events, Behind-the-Scenes, Testimonials) and subcategories that make sense for your business. For example, "Products > Spring2025 > NewArrivals" makes finding that perfect shot a breeze.


Implement a Smart Naming System 

Ditch those automatic IMG_1234 file names! Adopt a consistent naming convention that includes:

  • Date (YYYYMMDD)

  • Category

  • Description Example: "20250417_Products_BlueVase" tells you exactly what you're looking at without opening the file.


Use Tags and Labels 

Think like a librarian! Tag your photos with relevant keywords, seasons, campaigns, or themes. This makes it super simple to pull together content for themed posts or seasonal campaigns. Plus, when you're looking for that "perfect spring product shot," you'll find it in seconds.


Establish a Review System 

Set up three simple folders:

  • To Edit

  • Ready to Post

  • Posted This workflow prevents duplicate posting and helps you track what's already been shared versus what's still in your content pipeline.


Back Up Strategically 

Don't let a technical glitch destroy your content library! Create a three-tier backup system:

  • Cloud storage (daily)

  • External hard drive (weekly)

  • Archive folder for past campaigns (monthly)

Pro Tip: Delete photos you'll never use. Yes, really! A streamlined photo library is an efficient photo library.
